The most common disappointment in CCTV has nothing to do with cameras. It's the phone call three weeks after an incident — an insurer, a police officer, a customer dispute — followed by the discovery that the recorder overwrote the footage ten days ago. How CCTV Storage Works: The Loop

Almost every home and business recorder (NVR or DVR) records to hard drives in a continuous loop: when the drives fill, the oldest footage is overwritten first, automatically and silently. Nothing warns you that "how far back can we go?" has quietly become nine days instead of thirty.

So the real question isn't "how big is the hard drive" — it's "how many days of history does this system hold with my cameras, at my settings?" That number is the retention period, and it's the figure worth specifying up front.

The Variables That Decide Your Retention

Five settings drive how fast a system eats storage. Change any one and the days of history change with it.

1. Resolution

Each step up — from full HD toward 4K and beyond — multiplies the data each camera produces. Higher resolution is genuinely worth having at entries and tills where identification matters; it's wasted on a camera watching a back fence for presence. Mixed-resolution designs are how you get both detail and retention from the same recorder.

2. Frame Rate

Smooth, high frame rates look great and burn storage. For evidentiary purposes, a moderate frame rate is almost always enough — you need a clear face and sequence of events, not broadcast sport. Halving frame rate roughly doubles retention, which makes it the cheapest retention lever in the whole system.

3. Camera Count

Straightforwardly: twice the cameras, roughly twice the data. The trap is adding cameras to an existing recorder over the years without ever revisiting storage — every addition silently shortens the history for all of them.

4. Compression (Codec)

Modern H.265 compression stores the same footage in substantially less space than the older H.264, and smart codec variants save more again on static scenes. On older systems, this is sometimes an upgrade you already own — it just needs switching on.

5. Motion-Triggered vs Continuous Recording

The big one:

  • Continuous recording captures everything, always — maximum certainty, maximum storage cost.
  • Motion/event recording only writes when something happens, which can stretch the same drives from weeks to months in quiet scenes.
  • The hybrid most businesses should run: continuous recording at a low frame rate plus full-quality event recording on motion. You never have a gap — pre-event footage often matters as much as the event — but the storage load stays sane.

Modern person and vehicle detection makes event recording far more dependable than the old pixel-motion triggers, which either fired constantly or missed things. On systems with good analytics, event-based strategies became a lot more trustworthy.

How Long Should You Keep Footage?

  • Homes: most incidents (a prowler, a car scratched, a package theft) surface within days. Around two weeks of history serves most households well; a month adds comfortable margin for things you discover late.
  • Small business: disputes and discrepancies often surface on a monthly cycle — stocktakes, statements, staff rosters. Around a month of retention is the sensible working floor.
  • Higher-obligation sites — licensed venues, some workplaces and franchise or contractual arrangements — may have specified retention periods in their licence conditions or agreements. Check the documents that govern your site; where a number is specified, that number wins.

Whatever period you choose, remember incidents are discovered late more often than they're discovered instantly. When in doubt, size for longer.

What Police and Insurers Actually Ask For

Having footage is half the job; being able to hand it over usefully is the other half. Based on what evidence requests typically look like:

  • Native-quality export. A phone video of your monitor loses detail and credibility. Know how to export original files from your recorder to a USB drive — we show every client during handover.
  • Accurate time and date. An hour-off timestamp (hello, daylight saving) complicates everything. Recorders should sync time automatically; it's a checkbox worth verifying.
  • Coverage that identifies, not just observes. A figure crossing a distant frame proves something happened; a face at an entry proves who. This is a design question — identification views at entries, overview elsewhere.
  • Act quickly. Once you know footage matters, export it immediately. Retention periods are for the incidents you haven't discovered yet, not a reason to wait.
